Cancellation Policy

Cancellations

If you need to cancel your camper’s registration or wait list spot, for any reason, send an email to MacGyver or written notification to: Camp Butano Creek, c/o MacGyver, 1771 Dawn Street, Livermore, CA  94550.  

Camp Butano Creek reserves the right to modify or cancel sessions/programs resulting from uncontrollable acts of nature or large-scale events outside of our control, including but not limited to: weather conditions, fire and/or air quality, earthquake, contagion/outbreak (including but not limited to COVID-19), utility failures, inaccessibility, civil unrest, or governmental order.

Wait List Policy

Once an opening is available in the requested unit, we will contact families by phone along with a follow-up email, in the order that we received the wait list registration.  Once placement is confirmed, we will transfer the camper / staff into the requested unit.  If before May 18th, a $200 deposit (in the form of a check) is due to our off-season office within 7-days.  If after May 18th, the entire camp fee is due to our off-season office within 7-days.  Address for off-season mailings will be in the confirmation email (near the top in green font).  

NOTE: Health form and other permission forms are due May 18th.

Refund Policy

Before and including May 18th:
  • Full Refund:  The balance of the camp fee, including deposit, will be refunded only if:
    • The financial aid amount requested from GSNorCal is not fully granted; the total amount paid will be refunded.
    • If we (Camp Butano Creek) need to cancel our in-person camp, your camper’s registration will be transferred to our Friendly Faces of Butano Creek virtual camp session (during the same week, M-F). You will be refunded your camp fee less $35.
  • Partial Refund: The balance of the camp fee, less deposit, will be refunded only if:
    • Written notification stating that family plans have changed and the camper can no longer attend. 
    • The camper cannot attend due to illness or injury. In this case: 
      • Phone call to notify Camp Director, MacGyver @ 925-337-0443
      • A written request, is received by the Camp Director 4 weeks prior to the first day of the start of the camp session for which the camper is enrolled.

After May 18th:
  • Camp fees/deposits are non-refundable, unless:
    • The Camper has developed a health condition that prevents them from attending camp.  In this case, a refund of camp fees minus $200 will be made after the following conditions are completed:
      • A phone call is made to the Camp Director, MacGyver @ 925-337-0443, as soon as this fact is known.
      • A written request, accompanied by a letter from their physician, is received by the Camp Director PRIOR to the start of the camp session for which the camper is enrolled.

Once the Camper’s Session Starts:
  • No refunds will be made for any reason.  Examples:  Does not attend; arrives late; or leaves camp early.

PLEASE NOTE: 
  • To receive a refund of the registration fees paid less the deposit, a notice of cancellation must be received four weeks prior to the first day of the camp session for which the cancellation is being made.
  • Make refund requests in writing no later than August 1, 2023 to Camp Butano Creek.
  • Refund payments will be issued in the same form of payment originally used (Checks, Credit Card, Cookie Dough, etc.), with the possible exception of Credit Card may be refunded by check if after May 18th.
